CANADA POST HERITAGE CLUB
OTTAWA, ON. APRIL 23, 2015
PRESENT: Bob Emmons, Richard Lafleur, Gary Fisher, Harold Onagi, Nick Ronsky
President Bob opened the meeting by reviewing the minutes from the October, 2014 meeting. There were no errors or omissions.
FINANCIAL REPORT:
Nick presented the attached financial report. We have a bank balanced of $71.866.67 as of the end of the 2014 fiscal year. The current outlook for the 2015 A G M reflects an expenditure in the $40.000.00 area, comparable to recent A G M costs.
WEB SITE UPDATE:
We are joined by Yvon , Bob Hughes, and Gary Pon from Godzspeed. Yvon stated the new site is easy to navigate and Presidents should become familiar with it to ensure the greatest possible use for information purposes
Presidents are advised to use the four videos currently available for training purposes, please ensure you follow the plan. Bob Hughes stated that those Chapters not using the new Site MUST be identified at the A G M, and they must get on board.
Nick thanked Yvon and Bob Hughes for their dedication and support of the project, well done. Yvon complimented Godzspeed on the project and the timely completion. Yvon presented Gary with a gift on behalf of the Executive.
C P C PENSION, WORK PERKS, C P C ALUMNI WEB SITES: MAILINGS
We will receive updates from the Corporation tomorrow on the above.
CONSTITUTION :
Constitutional revisions will be voted on at the A G M, we have received a couple of proposed changes to the constitution.
A G M UPDATE:
Gary advised that all is in order for the 2015 Vernon Annual General meeting.
The only issue outstanding is the transportation from Kelowna to Vernon and reverse. Gary to work with the local company to arrange for travel in accordance with the known arrival times of the Presidents.

GOLDEN SHEAF:
President Bob acknowledged the accomplishments of the Golden Sheaf Chapter relative to recent local initiatives.
2016 A G M WINDSOR:
National President Bob, also President of Bluewater, outlined the plans for the 2016 A G M in Windsor. They are receiving outstanding cooperation from the selected Hotel. Plans are underway to ensure we have another successful meeting. Hotel costs are in line with those at Vernon. Entertainment is being finalized.
More details will be provided at the Vernon meeting.
SANTA LETTERS:
List of volunteers selected from 2014 Santa Letter program received from Fred. It was suggested that the awards to the volunteers be presented with the GREATEST possible exposure, e.g. at a banquet or some such occasion .
AWARDS:
A review of the Activity reports was done. As a result, the Chapters selected for the Awards were selected. Congratulations to all who were successful, and thank you for timely completion of the reports.
INSURANCE:
Received an enquiry from Bob Hughes regarding our current coverage. We have coverage for Presidents and executive members. An enquiry to P I B regarding additional coverage for volunteers resulted in a response that there was an opportunity to include them at minimal cost. We will discuss at the A G M.
MANUAL PRINTING:
President Bob will look into printing costs of the new manual, he will coordinate with Harold re the final printing. Copies will be made available in English and French as required.

HERITAGE CLUB – CANADA POST

C P C PENSION: Julie Joyal
Information available on canadapost.ca, The vote has been completed and five people have been selected. The term is for four years. No consideration was given to special appointment from Heritage Club specifically. The Corporation will endeavour to keep the Heritage Club informed on a current basis regarding pension issues.
The Heritage Club would appreciate having a representative on the consultation committee.
SANTA LETTERS:
Christiane reported that the recent Santa Letter program was the most successful. Although the Heritage Club has been there in most cases, there was a shortfall in some areas. Consideration is being given to expand the program to outside agencies to ensure adequate manpower is available in the future.
There were 1.5 million letters answered by 3,900 volunteers last year. There is availability to process letters in thirty languages.

EST ELECTRONIC MAILING: Susanne Turner
Susanne presented an updated copy of the process to be followed for Chapter mailing. The process is similar to previous program. A copy will be mailed to all Chapter Presidents to ensure smooth mailing in the future. Any problems arising to be provided to Susanne for resolution.
WORK PERKS: Julie
The cost of Work Perks has become exorbitant. While the number of participants provided by Work Perks was high, the Corporation has determined that slightly more than six hundred persons actually participated. As a result, the program has been discontinued.
INFORMATION DISTRIBUTION: Julie
President Bob expressed concern about recent late distribution of information that the Heritage Club was unable to respond to in a timely manner. Recent example was the Canada Pension vote.
Julie noted our concern with promise to address this matter.
MEDICATION: Kim Lorimer
Participation in the medication program in totally voluntary. The program is available to everyone.
A G M UPDATE: James Innes
James indicated that the Corporation will be represented at the Vernon A G M. A final decision on who will be there has not been determined.
Nick advised James that he felt the Corporation was not utilizing Heritage Club members to the fullest capacity available. James indicated he would take this under advisement and explore all options for the future.
CANADA POST ALUMNI SITE: Julie
No update currently available, Julie, will attempt to familiarize herself with the project, and provide an update when possible.
